Guidelines for Paper Poster PRESENTATIONS

Paper poster presentations will take place over three days (Tuesday 4, Wednesday 5, and Thursday 6 November), with each day featuring two distinct sessions: a Poster Pitch session and the main Printed Poster Presentation. Please review the requirements for both formats carefully.

Poster Pitch Sessions (2-Minute Oral Presentation)

To give all attendees a broad overview of your work, you will deliver a brief oral presentation in the main lecture theatre prior to the printed poster session.

  • Format: You must prepare a short oral presentation with slides to pitch your poster and provide an overview of your work.
  • Time Limit: Your presentation is strictly limited to 2 minutes. To ensure a smooth session, a signal will be given to move to the next speaker upon reaching the 2-minute mark.
  • Technical Requirements: Presentations will be displayed on a conference-provided computer, not your personal laptop. This is essential for a seamless transition between speakers.
  • Submission Logistics: Please email a PDF of your presentation slides to both  Poster Chairs by Tuesday 28 October:

To help us identify your work, please name the PDF file using the Last Name of the first author and Paper ID (e.g., Smith_P101.pdf).

  • Presentation Order: The specific order of presentations will be communicated on the conference website prior to the sessions.
  • Arrival Time: Please arrive 5 minutes before your session to check in and speak with the Poster Session Chairs.
    • Note: Poster Session Chairs will be announced on the conference website closer to the event start date.

Printed Poster Presentation

This session allows for detailed discussion with attendees in front of your physical poster board.

To maximise your engagement with all attendees, we recommend adopting a structured, cyclical presentation approach. When an attendee or group gathers at your poster, offer a summary of your work, then take some questions before restarting the summary for new arrivals. If a discussion becomes lengthy and prevents others from hearing your overview, be proactive: politely propose to continue the discussion later with the deeply engaged attendee(s). This strategy ensures a wide audience can hear about your work while still allowing for detailed follow-up.

  • Poster Size and Format: Your poster must be prepared and printed in A0 format (Portrait orientation).
  • Printing: Authors are responsible for printing and bringing their own posters. No printing service will be provided at the conference. You do not need to submit the poster electronically in advance.
  • Display and Removal:
    • Posters must be set up during the morning break on the day of your session.
    • Posters must be removed by the end of the day.
  • Setup:
    • Your poster must be displayed on the board designated for your paper, which will be indicated by your Paper ID label.
    • Poster hanging equipment (e.g., push pins or tape) will be provided.
    • Please coordinate the setup of your poster during the morning break with the Technical Coordinator or the Poster Session Chairs.
  • Author Attendance:
    • During the dedicated Poster Presentation session, at least one author must be present at your board to discuss the work with attendees.
    • Your poster will remain on display all day from the morning break, giving attendees continuous opportunity to discover your work. You are not required to stand by your poster outside the designated Poster Presentation session, but feel free to return and initiate or continue discussions with interested attendees any time the poster room is open.
  • Special Requirements: If you require specific equipment, such as a table for a laptop or access to power outlets, please contact the Poster Chairs (see emails above) in advance to make arrangements. We will try to accommodate these needs, but provision is not guaranteed.
